The New Year has seen us welcome 7 new faces into the OrderWise team across various departments!

As part of the continued expansion of the OrderWise Support Team, Alan Dawson, Alex Liggett, Greg Downey and Scott Wells all have joined the existing team. Alan and Alex are both Business and Computing Information Systems Graduates with a range of knowledge and experience to bring to their roles and the Team. We are also extremely pleased to welcome Greg and Scott to the team as our first apprentices.

Sam Donaghey and Ken Garner have also joined us, becoming part of our expanded Testing Team where they will play an integral part in the development and growth of OrderWise.

We have also welcomed Andrew Cheney to our Sales Team, where he will be our Referrer Network Coordinator, which will see him build and maintain relationships with our many referrers.

All of our new colleagues are currently undergoing their initial intensive OrderWise training, which give them a comprehensive understanding of OrderWise and how it works. The training culminates in a challenging OrderWise examination which all new staff must pass before progressing onto their roles within their teams, where they then receive training relating to their specific roles.

Welcome to OrderWise Scott, Greg, Alan, Alex, Ken, Sam and Andrew!

If you are one of our users in the Republic of Ireland, you’ll be aware that the Irish standard-rate VAT will rise to 23% on 1st January 2012.

It is important that you do not make any changes to the tax rates in your OrderWise data at present, as this will have implications throughout the system which will adversely affect your order history. To help you achieve a smooth transition to the new VAT rate, our Development Team have created a new utility for making the necessary changes within OrderWise.

We strongly advise all of our customers to take a back-up of their data and perform a test run on the back-up during December, prior to running it on your ‘live data’. As in previous years, instructions are included within the utility. To run the utility, just follow the on screen instructions.

The rate of standard VAT in Ireland will rise to 23% on 1st January 2012.

As when there have been previous changes to the rate of VAT, we will be releasing an OrderWise utility to our customers with a valid Support and Upgrades contract, which will help you achieve a smooth transition to the new VAT rate. Our Development Team are currently creating a procedure that, in brief, will allow you to easily update your Standard VAT code.

What Will The Utility Do?

It will update all existing uninvoiced Sales Order Line Items in OrderWise to a user specified VAT Code – i.e. T1 at 23%.

The utility will also update any defaults from the current standard VAT Rate, to the updated rate in customers, suppliers, products, delivery methods etc.

POS quotes and paused transactions will be changed too.

Build Up’s or Price Requests will be changed. Existing Purchase Orders will not be affected.

The reason we are able to alter Sales Orders in OrderWise is that Part Shipped Orders with multiple lines could have both VAT rates on them and it is strongly advisable to preserve this to maintain a correct order history. (Unlike some other systems where a sweeping change is made and old sales orders calculate incorrectly or appear to be at the incorrect VAT rate).

Important Information!

If you are using Auto Import to import orders from your web sites, you will need to check that your web site and associated scripts support this change.

If you are using the Credit Card Processing module, you will not have orders that have a payment received against them modified. This is because the order total would end up to be lower than the payment received. As the payment received must be fully accounted for, these orders will need to have a manual credit raised against them for the VAT difference, if required.

Please note that any changes to layouts, reports, import scripts or client specific utilities are subject to additional charge and will be addressed on a first come first served basis.

All eligible OrderWise customers will be contacted as soon as the utility is available next week. We will also update this blog with further details.

This information applies only to OrderWise Version 6.

Please note our Support Team will be available between Christmas and New Year. Our opening times can be found here.

If you have any questions regarding the utility or applying the VAT change within OrderWise, please contact our Support Team on 01522 704083 or supportorderwisecouk

So, as part of our continued commitment to our users, we have extended our opening hours with Support now available from 8am to 5pm Monday to Friday*. We want to ensure Support is available when you most need it, so we studied the times when most support requests are made and we’ve structured our support team to be available to you during these hours.

You can now use the ‘Contact Support’ form on our website, which you can find here. Why not ‘bookmark’ the page or save it in your ‘Favourites’ and then you’re only ever a couple of clicks away from contacting support.

*Support is open 8am – 5pm Monday to Friday, excluding UK public and bank holidays

When deciding which Tax code (eg, T1, T17, T20) you want to to make the standard rate at 20%, you need to consider various things. As this is a permanent change, we are advising that you change T1 17.5% to T1 20%, as this is the default tax code for standard rate tax in Sage. Also, if you use Sage you need to bear in mind what is already set up. For example, T20 may be set up in Sage as the default for the ‘Reverse Charge’ tax code – which you won’t want to change if you use that.

However, you need to be aware that if you do this and then re-enter and save an invoiced, or part invoiced, Sales Order, the vat on each line of this Sales Order will update to the new tax rate. Whilst this is not a problem, as the lines have already been invoiced at the correct rate, it does mean if you you need to re-print an order acknowledgement or re-print an invoice it will show the updated tax rate.
Re-calculating sales orders also has the same effect.

Therefore, if you regularly re-print order acknowledgments or invoices, or you part despatch AND invoice on despatch, you might want to consider setting T20 (or other) up as 20% .

If you would like any further advice regarding this, please call us on 01522 704083.

Paul and I have just been over to visit our new offices and now I can’t wait to get moved in. The amount of work that has been done in the last few weeks is almost unbelievable and it looks amazing.
The training rooms are really light and spacious and I think customers attending training are really going to appreciate the new customer lounge.

We were only really popping over for a quick look, but an hour later we were happily trying out the new sofas in the customer lounge that we had just unpacked.

Now I’m back at my desk, there is plenty of work to be done as always so i’ll keep this post short!

Remember to look out for lots of details and pictures of our new offices in the Autumn Newsletter.

… a white wedding! We’d all like to say a big ‘congratulations’ to Chris Tuck and his lovely new wife Lindsey.
Chris, who’s an OrderWise Senior Business Advisor, was married on Saturday and we all had a great time celebrating the occasion with him and Lindsey on Saturday evening. Everyone threw on their gladrags and danced the night away, with even the boss showing off some of his moves on the dancefloor. You know what they say about all work and no play!

Sage have now released Sage 50 Accounts 2011. If you use the OrderWise integration with Sage 50, and have received an upgrade or are thinking about installing Sage 50 Account 2011 please remember to contact us first.

It’s really important you contact us prior to installing your new version of Sage, as when Sage release new versions changes are made to the SDO (the bit that lets OrderWise communicate with Sage) and therefore we need to update OrderWise to be compaible with these changes. So, you’ll need an OrderWise upgrade as your current version of OrderWise won’t be able to post to your new version of Sage 50.

The compatible OrderWise upgrade will be released shortly, so if you are changing to Sage 50 Accounts 2011 give us a call or email supportorderwisecouk (supportorderwisecouk) , and we’ll arrnage for the upgrade to be sent to you.
